The TCSI Newsletter helps to keep our Higher Education and VET Student Loans (VSL) providers up to date with the TCSI news.

Accessing data in TCSI

Choose the right tool for your provider to securely access and handle data stored in TCSI.

What is available

Tertiary education providers should consider the available solutions for accessing data reported to TCSI such as the:

TCSI Analytics Dashboards
TCSI Analytics unit record and summary reports
TCSI Data Entry records screens
Application programming interfaces (APIs) that can be built into provider student management systems.

Access to these services is managed by each provider using Provider Digital Access (PRODA). Please check the Accessing TCSI services (PRODA) guide to make sure you know how to manage access to TCSI services.

What is changing

The current TCSI Data Extract Request form found via the request a data extract page, will be decommissioned by the end of November 2025 for production data.

If the available solutions listed above do not meet your business needs, providers may like to apply for access to the self-serve bulk data retrieval solution, available via the TCSI Analytics portal.

Providers need to be mindful of their privacy and security obligations when accessing and handling data. This is true regardless of which TCSI service providers are using.

To access the new bulk data retrieval solution, providers must submit a business case form. This form can be requested from TCSIsupport@education.gov.au. Please note that the review and approval process can take approximately two weeks to finalise.

Reporting the unit of study outcome date in TCSI

How the E601: Unit of study outcome date impacts loans in TCSI.

It is important that providers correctly report the E601: Unit of study outcome date in TCSI, as this element is critical for accurate loan data transfer, maintaining student payments, and data verification statistics.

Providers are required to update an existing unit enrolment record within 7 days of the student withdrawing, completing, or failing a unit of study. The E601: Unit of study outcome date “Additional Information” section provides guidance on selecting the correct date for withdrawals, completions, and failed units.

Higher education loans
TCSI will not create a loan for a unit enrolment that has been reported with a E601: Unit of study outcome date on or before the E489: Unit of Study Census date. Any unit enrolment that already has a loan in TCSI, will have that loan deleted or reversed if the E601: Unit of study outcome date is updated by the provider to be on or before the E489: Unit of Study Census date. E355: Unit of study status code does not affect the application of this rule for higher education loans.

VET Student Loans
TCSI will not create a loan for a unit enrolment that has been reported with a E601: Unit of study outcome date on or before the E489: Unit of Study Census date, where the unit is reported as withdrawn i.e. E355: Unit of study status code is reported with a ‘1’ or ‘6’ value. Units reported as completed or failed before the census date may create a loan in TCSI (if other elements indicate a loan is required).

Any unit enrolment that already has a loan in TCSI, will have that loan deleted or reversed if the E601: Unit of study outcome date is updated by the provider to be on or before the E489: Unit of Study Census date and the E355: Unit of study status code is reported with a ‘1’ or ‘6’ value.

Upcoming Change: New PRODA Attributes for TCSI Analytics

New PRODA attributes will soon be activated!

As part of our ongoing commitment to improving privacy and security in TCSI Analytics, new PRODA attributes will soon be activated:

New Attributes

TCSI Analytics – Staff

Provides access to all staff collection analytic reports.

Reports that are included within the TCSI Analytics – Staff attribute

Staff reports

TCSI Analytics – Data Extract:

Enables authorised users to access Bulk Data Retrieval functionality.

For providers with approval, please see the Bulk Data Retrieval page.

Updated Attribute

TCSI Analytics – Read

Provides read only access to TCSI Analytics for student collection analytic reports.

Once the new staff attribute becomes active, the TCSI Analytics – Read attribute will only allow access to student collection analytic reports. The attribute description will be updated on the website to reflect this change.

What does this mean for providers?

The new TCSI Analytics – Staff attribute is now visible in PRODA, but it will not provide access until further configuration work is completed by the Department of Education.
The TCSI Analytics – Read description will be updated on the website once the new staff attribute is activated.
The following TCSI Analytics attributes remain unchanged, including:
- TCSI Analytics – Signoff: required to sign-off verified student and staff data sets.
- TCSI Analytics – Verify: required to verify student and staff data sets.

Why is this change happening?

We are introducing these attributes in response to provider feedback to:

Strengthen privacy and security controls.
Reduce unnecessary access and minimise the risk of misuse.

What should providers do?

No action is required at this stage. Further updates will be provided before the staff attribute becomes active.

VET Providers will not need to change attributes for their staff to continue accessing TCSI Analytics.

New TCSI Analytics features

Changes are now visible in TCSI Analytics!

Higher Education providers will see changes the next time they log in to TCSI Analytics, including:

A new TCSI Analytics home page – to help you find the information you need.
Updates to the Critical Student Loan Error dashboard – to help you easily identify issues with student loans that may affect loan transfer.
Updates to the Expected Trends dashboard – you can now see a summary of equity information, including Low-SES, a flag for Commonwealth Supported Places’, and pre and post-census data.

Please try out the refreshed dashboards and submit any feedback, issues, or suggestions to TCSIRenewal@education.gov.au.
