<Providers are expected to ensure their contact details are kept up to date.>

The department communicates with providers regularly on TCSI data reporting. It is important for all providers to maintain accurate and up-to-date TCSI contact information.

TCSI Primary, Secondary and Group Mailbox Contacts

TCSI primary, secondary contacts and group mailboxes will receive Ministerial notice updates, a copy of CEO and Vice Chancellor communications from TCSI Support and are the point of contact if there are anomalies detected in provider data.

To ensure TCSI has the correct contacts for your organisation, providers should complete the ‘TCSI Provider Contact’ form. Where possible, please provide direct phone numbers and emails for your primary and secondary contact. Up to two group mailboxes may also be added for your organisation using the form.

TCSI Newsletter and Web Alert Subscription

Providers are encouraged to remind their colleagues to subscribe to the TCSI Newsletter to ensure they are receiving TCSI updates. This form also allows providers to update their subscription options for TCSI web alerts (outage notices). Individuals from your organisation should keep their subscription preferences up to date if their role or provider type changes. There is no limit to the number of subscribers that providers can have subscribed to the TCSI Newsletter.

HITS Contacts

The HELP Information Technology System (HITS) is utilised to manage information about approved providers, including contact information for staff members such as vice-chancellors (VCs) and chief executive officers (CEOs). It is a requirement for approved providers to ensure their contact information is accurate and up to date in HITS.

For any enquiries related to HITS:

• Higher education providers, please contact FEE-HELP@education.gov.au.
• VET Student Loan providers, please contact VETStudentLoans@dewr.gov.au.

Protect personal information. A reminder to all providers to follow data privacy and security guidelines.

TCSI Support would like to remind providers that they need to continue to consider their own obligations and consider the 13 Australian Privacy Principles outlined under the Privacy Act 1988 when sending data via email to TCSI support.

TCSI Support issues and information requests

Please ensure that the information does not breach the individual’s privacy and does not contain information such as:

• Tax File Number
• Commonwealth higher education student support number (CHESSN)
• Unique Student Identifier
• Name details
• Date of Birth
• Addresses
• Aboriginal and Torres Strait Islander code

If student information needs to be communicated to the department, providers can send the following identifiers:

• E313: Student identification code and E306: Provider code
  or
• UID8_StudentResKey.

If TCSI support requires sensitive data in relation to an enquiry, they will send follow up correspondence with instructions on how to share the information.

TCSI test data

Reminder: Actual live or production data should not be used in the test environment.

Providers should consider their obligations and consider the 13 Australian Privacy Principles outlined under the Privacy Act 1988.

Whilst actual live or production data should not be used for testing purposes, providers can consider using de-identified data, with the acknowledgement and confirmation of certain conditions. These are:

• The provider is sufficiently satisfied that the data has been de-identified in such a way that it cannot be un-scrambled or re-identified.
• In the event that this data is published or exposed externally, the provider maintains no concern to its privacy or security sensitivity. Essentially, the government will treat this data as unclassified material.
• In the event that data is able to be un-scrambled or re-identified, the provider holds all responsibility for this and any associated implications.

The department strongly advises providers to seek internal legal advice prior to exploring the usage of de-identified production data for testing in the TCSI test environment.

Your TCSI PRODA attributes may have expired.

It is recommended that staff set regular reminders and check their PRODA access expiry dates to ensure they do not lose access to their organisation in PRODA or required TCSI Attributes.

Your access can only be provided or extended by a director of your organisation in PRODA, or a nominated delegate. It is recommended that providers have more than one staff member with delegable roles. This will allow access to be extended without requiring the organisation's director. If all staff members lose their access, it can be recovered by the director registered in PRODA and the Australian Business Register.

Instructions for directors and delegates

To extend a staff member’s access to your organisation:

• Navigate to the Organisation Details screen in PRODA
• Click “Members”
• Select the relevant staff member
• Set a new "End Date" (maximum 5 years duration)
• Click “Save”
• Confirm by clicking "Update end date".

To extend a staff member’s access to an attribute:

• Navigate to the Organisation Details screen in PRODA
• Click “Members”
• Select the relevant staff member
• Scroll down and click “Attribute Delegations”
• Click the relevant attribute
• Set a new effective-to date (maximum 12 months duration)
• Click “Save”.

Choose the right tool for your provider to securely access and handle data stored in TCSI.

Tertiary education providers should consider the available solutions for accessing data reported to TCSI such as the:

• TCSI Analytics Dashboards
• TCSI Analytics unit record and summary reports
• TCSI Data Entry records screens
• Application programming interfaces (APIs) that can be built into provider student management systems.

Access to these services is managed by each provider using Provider Digital Access (PRODA). Please check the Accessing TCSI services (PRODA) guide to make sure you know how to manage access to TCSI services.

If the available solutions listed above do not meet your business needs, providers may like to apply for access to the self-serve bulk data retrieval solution, available via the TCSI Analytics portal.

To access the bulk data retrieval solution, providers must submit a business case form. This form can be requested from TCSIsupport@education.gov.au. Please note that the review and approval process can take approximately two weeks to finalise.

Providers need to be mindful of their privacy and security obligations when accessing and handling data. This is true regardless of which TCSI service providers are using.

Support is available for providers intending to implement major updates to their student management system.

Providers are encouraged to contact TCSI Support when they are intending to implement a major change to their TCSI reporting solution. TCSI Support is available to provide insights and support during these periods, including but not limited to:

• Highlighting potential risks and areas of concern
• Assisting in monitoring TCSI data
• Enabling safeguards within TCSI to reduce potential impact to students, loans and data already reported to TCSI.

Each update or transition will be unique for each provider. Providers are therefore encouraged to include a summary of the intended action, key dates, and questions when contacting TCSIsupport@education.gov.au.

All providers are invited to attend upcoming webinars and drop-in sessions.

These sessions are an excellent opportunity to get up-to-date information and to ask any questions you might have about TCSI.

2025 Student data now available from the ‘Verified reports’ tab in TCSI Analytics.

Finalised provider 2025 verified student data is now available directly to providers through the Verified Reports in TCSI Analytics.

Providers will be notified separately when 2025 verified data becomes available in the Expected Trends Provider Dashboard.

The Higher Education student statistical collection for 2025 has not yet been released.
