Verification of 2020 higher education data

2020 verification snapshots

As the verification reports are not yet live in TCSI Analytics, we will take verification snapshots that will be used for 2020 funding reconciliations, publications and statistics.

This will be a one-off method for verifying 2020 data only. Verification of 2021 data will occur in TCSI Analytics.

The verification snapshot is a copy of your final 2020 data set. Sign off is not required, as this snapshot replaces the previous sign-off arrangements in HEIMS Online.

When will snapshots be available

The department will take a full-year snapshot of your institution's verified student data set on Monday 31 May 2021. A copy of this will be provided to you within 3 to 5 business days of this date.

Alternative dates for verification snapshots

If 31 May is not a suitable time frame for your final 2020 student data set, you may nominate a date from the table below for your institution’s final verification snapshot. Please note, we are unable to take a snapshot of different files on different dates.

How to request a verification snapshot

If you are nominating a date other than 31 May 2021, please email your alternative date selected from the table above at least 3 days prior to TCSISupport@dese.gov.au. We will then provide the requested snapshot 3 to 5 business days after your nominated date.

If your preferred snapshot date is 31 May there is no need for you to do anything. We will provide you with a copy of your 2020 data in June 2021.

Format of the verification snapshot

The snapshot will be provided to you via the FTP server with a format that includes a:

  • CSV file of your 2020 unit record data
  • key publication tables for your institution, including student enrolment and student load.

If you need to amend your 2020 data

Checking of 2020 data was required to be completed by 31 March 2021. But should you need to make a change now that you are reporting in TCSI, please use your standard process for amending your data in TCSI.

If you amend your 2020 data and want to request another copy of your verification snapshot, please nominate a subsequent date from the table above and provide at least 3 days’ notice to TCSI.

Will snapshots include past course completions data?

The snapshots will not include 2020 past course completions data.

We will contact you in May 2021 to provide past course completions data once all providers have onboarded to TCSI and submitted their course completions records for January to March 2021.

You can use past course completions reports available in HEIMS Online to verify your 2020 course completions that were submitted via HEPCAT.
